Executive summary

Since September, the practical shift for schools is not that “AI arrived”, but that more AI surfaces are now closer to everyday Classroom routines. In October 2025, Google’s Workspace AI experiences are more tightly woven into writing, summarising and drafting across core apps, and Classroom workflows increasingly “suggest” AI help at the point of action. That changes the operational risk: teachers and pupils are more likely to use AI by default unless you deliberately constrain it. What has not changed is the core governance requirement: you still need clear role-based access, age-appropriate boundaries, and documented decisions. UK GDPR expectations remain the same: purpose limitation, data minimisation, transparency, and a DPIA where risk rises. The biggest “new” work for October is checking whether previously quiet settings now have new user-facing entry points, and whether logging and retention are sufficient for safeguarding.

A useful way to brief SLT is to decide what you want to happen for each group when AI prompts appear in Classroom and Workspace. In October, many schools will land on “pilot for staff, restricted for pupils”, but the details matter.

For primary pupils, a common position is to keep student-facing generative AI experiences disabled (or tightly limited) and allow staff-only use for planning and resource creation. For secondary pupils, you may pilot limited student use in low-stakes tasks (for example, brainstorming alternative explanations in science) while keeping assessment-related use clearly bounded, aligned with your exam integrity approach (exam season traffic lights).

For staff, the decision tends to split by role. Classroom teachers may be enabled for drafting, summarising and feedback preparation, while pastoral teams may be restricted if content frequently includes special category data. Admin staff may be enabled for generic communications but blocked from using AI with pupil records. For IT/admin, enable the controls and reporting needed to evidence compliance, not “everything on”.

If you need a simple operational stance: enable for staff in a defined OU, pilot for older students in a defined OU with explicit classroom rules, and disable elsewhere until your DPIA and comms are complete. Admin control map

In October 2025, the most important admin task is confirming where AI is controlled in the Google Admin console, and ensuring your organisational units (OUs) reflect your intended boundaries. Google’s naming changes over time, but the control pattern is stable: AI settings live under Workspace service settings, and Classroom behaviour is usually governed by Classroom service settings plus user permissions.

Start in Google Admin console and work OU-first (e.g., Staff, Sixth Form, KS4, KS3, KS2). For each OU, check three things: whether the relevant AI experience is enabled, whether data use/training controls are set as expected, and whether auditing is available.

You will typically find the key switches in these places:

  • Apps → Google Workspace → (Gemini / generative AI features): this is where you confirm who can access Workspace-wide AI assistance and in which apps. Your October check is whether any “help me write/summarise” experiences are now on by default for an OU you didn’t intend.
  • Apps → Google Workspace → Google Classroom: confirm Classroom service status by OU, and review any settings that affect assignment creation, originality/plagiarism tools, and sharing/visibility behaviours. The October risk is that new AI entry points appear inside teacher workflows even when you thought “we’re not using AI in Classroom”.
  • Security → Access and data control: confirm core sharing controls, third-party app access, and whether users can connect external AI tools. Even if Google’s AI is controlled, unmanaged add-ons can reintroduce risk.
  • Reporting / Audit and investigation: confirm what you can evidence. If a safeguarding concern arises, you need to show what was enabled, for whom, and when. If your logging is thin, your “policy” will not stand up well under scrutiny.

Treat each setting as answering a plain-English question: “Can this user generate text from prompts?”, “Can they do it inside school accounts?”, “Is it logged?”, and “Can we restrict by age group?” If you are running a fast evaluation sprint, keep it tightly scoped and time-boxed, with a written “stop” rule if unexpected data appears in prompts (one-week evaluation sprint).

Data protection and safeguarding

For UK schools, the October update should be treated as a DPIA review moment if any of the following is true: student access expands; new AI features appear in core apps; staff are likely to paste pupil work or pastoral notes; or the system begins generating content that could influence decisions about pupils. A DPIA is not paperwork for its own sake; it is your evidence that you identified risks and put controls in place.

Your red lines should be explicit and repeated in training: no prompts containing safeguarding disclosures, pupil medical details, SEND casework, social care information, or anything that could identify a child in a sensitive context. Even where a tool is “within Workspace”, you still apply data minimisation. Teachers should be coached to use anonymised excerpts, invented examples, or aggregated patterns.

Retention and logging matter for two reasons. First, safeguarding: if an AI interaction is involved in a concern (for example, a pupil generates harmful content), you need a clear route to review what happened. Second, accountability: if a parent request or ICO-style query arises, you need to show your settings, your comms, and your training. Teacher workflows that still work

The safest October posture is to keep teacher time-savers, but design them so they do not require personal data. The following three workflows remain useful even under strict privacy expectations.

For planning, a teacher can ask for a lesson sequence using only curriculum objectives and generic class context. For example: “Create a 45-minute lesson outline on persuasive techniques for mixed-attainment Year 9, with a retrieval starter and hinge questions.” The output becomes a draft, not a script, and the teacher adapts it to their class. This is “low data, high value” because it uses no pupil information.

For feedback preparation, the privacy-minimal approach is to generate success criteria, common misconceptions, and feedback sentence stems before looking at pupil work. A teacher might prompt: “Give five common misconceptions in solving simultaneous equations and short feedback prompts to address each.” Then, when marking, they select from prepared stems rather than pasting pupil answers into AI. This aligns well with evidence-first writing and feedback routines, where the teacher remains the decision-maker (evidence-first writing instruction).

For classroom materials, use AI to create multiple versions of the same resource without referencing individual needs. A teacher can request: “Create three reading comprehension questions at easy/medium/challenge levels for this 200-word text I wrote.” If the original text is teacher-authored and not pupil work, the privacy risk is reduced. Where accessibility is a priority, build in adjustments such as simplified language, clearer layout cues, and vocabulary pre-teaching, and keep decisions grounded in your inclusion strategy rather than novelty (accessibility tech guide).

Student-facing use

If you allow student access in October, set boundaries that pupils can understand and staff can enforce. Account access should be through managed school accounts only; avoid pupils using personal accounts on school devices, which complicates consent, logging and safeguarding response. Keep the “why” simple: school accounts let you protect them, support them, and investigate concerns.

Age-appropriate boundaries should be visible at the point of use. In practice, that means a short set of classroom rules, a reminder not to share personal information, and clear examples of permitted and prohibited tasks. For older students, be explicit about assessment integrity. If AI can be used for planning, it may still be prohibited for final submission in certain tasks. Where possible, design assessments that value process: in-class writing, oral defence, drafts with checkpoints, and source-based tasks.

Finally, prepare staff for the behavioural reality: if AI suggestions appear in the interface, pupils will click them. Your controls and routines must assume that curiosity, not malice, is the main driver.

Implementation plan for October

Treat October as an operational month: communicate, train, monitor, and evidence. Start with a short message to staff that explains what has changed on screen, what is permitted, and what to do if they are unsure. Follow quickly with a 30-minute micro-training that focuses on “privacy-minimal prompting” and “what not to paste”, ideally practised with real curriculum examples. Monitoring should be light-touch but real. Confirm settings by OU, sample user experiences on different accounts, and schedule a fortnightly check-in for the first month. If you have an incident pathway for online safety, add an AI-specific branch: what to capture, who to notify, and how to preserve evidence.

To help SLT, the DSL and the DPO evidence decisions, use this checklist as your October “pack”:

  • Record the date you reviewed Workspace/Classroom AI settings, by OU, with screenshots or exported settings where possible.
  • Log your enable/pilot/disable decisions by role and age phase, including the rationale and review date.
  • Update staff guidance: a one-page “safe prompting” sheet and a clear list of red-line data.
  • Confirm your DPIA position: either an updated DPIA, or a documented rationale for why a DPIA is not required at this stage.
  • Confirm logging and safeguarding response: what can be audited, who has access, and how long logs are retained.
  • Update your AUP and student guidance, and evidence that it was shared.
  • Provide a short staff training record (slides, attendance, and the agreed classroom script).
  • Add an assessment integrity note for departments, aligned to your exam boundaries.
